Vodis 101 - How to start

Vodis basics - how to start using Vodis.

To start with Vodis as a new single user or to create a new company or organisation, use the Register link on the index page.


Enter your real name and email address plus a unique password at least eight characters long and a mix of numbers and letters.

Tick the box to acknowledge that you agree to abide by the Vodis site usage rules - and please do read those before registering.

Also enter the numbers or words from the "captcha" image at the bottom of the registration form.


Submit the form; if the entered data is accepted, you will be sent an email to confirm your registration.

You need to click or open the link in that email to complete the registration process.

(If there are any errors in the registration form, these will be highlighted so you may correct them. The captcha numbers or words must also be re-entered.)


Once you have completed the registration, you can log in to the Vodis site.


Initially, you will not have any place or person records linked to your log-in account.


If you go to the overview page, you can use a the link in that to create your new main place, which will also create a Person record using the information from your login account.


This initial main or parent "root" place will be the container for any further places or assets you create.

For a home or small business, it can be the home or business address. For a multi-site company or organisation, it should be the main office or registered address.


While that place is selected (in the Places menu), you can create any number of sub-places in it.

These could be bays or sections in a workshop, rooms in a house or country sites for a multi-national organisation.


Each of these new places if required contain further places, which can contain more places, almost without limit.

Or, you can just use the one initial place for everything - its completely your choice.


You may also create places that represent logical rather than geographic divisions, such as a business creating a place for each customer to simplify organisation & avoid confusion with many customers equipment being listed in one lot.


With any place selected, you should then create the asset records in that place.


These can relate to any item or piece of equipment that may require any form of maintenance or service - from a photocopier in an office to a foundry crucible or a heavy machine tool.


Once assets have been created, they will be listed in the Tasks menu, in their assigned place in the place "tree menu" at the left of the page.

With any asset selected, you can add tasks relating to that using the link at the right of the page.

The asset details may also be edited or updated using the edit link.


Any pending tasks will be shown in the Overview page.

Initially, all tasks for the entire organisation will be shown in a single-view summary.

You may change the view to select only tasks within a certain place by selecting that place in the tree menu.


Your selecting will be remembered until you leave the site. To restore the full view, select the higher level at the top of the tree.


You can also view pending tasks for a specific asset in the Tasks page.


Clicking on the title description of any task in the overview or tasks pages will open the details of that task.

The present status and details will be displayed, as well as the task entry date and its creators name.


Any notes relating to the task will also be shown, and further notes may be added using the form at the bottom of that page.


Task notes are a vital part of the overall Vodis system. These allow people working with the equipment to record details of any problems, symptoms and diagnostics or stages of fault-finding and rectification.

They also provide continuity if different personnel or engineers are doing different parts of the work, and allow the equipment users or operators to see the progress of the work.


For management, the overview page allows an instant assessment of any problems occurring and the severity or impact of these.

The overview listing is sorted and colour coded to show breakdown-level tasks that most affect production at the top of the page.

The details and status of each task can be viewed at a click.
